Privacy Policy — S.S. Education Advocate Platform

This Privacy Policy describes how S.S. Education (“S.S. Education,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the S.S. Education advocate platform (the “Platform”).
S.S. Education acts solely as a software service provider and is not a school, educational institution, attorney, advocate, healthcare provider, or educational agency.

1. Scope and Roles
The Platform is used by educational advocates and consultants (“Advocates”) to organize cases, upload and review educational documents, generate AI-assisted summaries and reports, and share selected materials with clients.
Advocates are responsible for determining the lawful basis to upload student-related information and for obtaining any required consents from parents, guardians, students, or other clients.
2. Information We Collect
We may collect:
- Account information — name, email address, organization, billing-related data (if applicable), and authentication identifiers.
- Case and advocacy content — documents you upload (including IEPs, evaluations, and correspondence), notes, comments, generated outputs, and communications you choose to store in the Platform.
- Client and student information — information you submit about students or families in connection with a case, which may include educational records and personally identifiable information.
- Technical and usage data — IP address, device and browser type, timestamps, diagnostic logs, cookies or similar technologies, and analytics as described below.
3. Educational Records and Sensitive Information
The Platform may process educational records and other sensitive information that Advocates upload or generate.
- S.S. Education does not act as a school official under the Family Educational Rights and Privacy Act (“FERPA”).
- FERPA compliance for any student educational records processed through the Platform remains the responsibility of the Advocate and, where applicable, the educational institution or other party with direct FERPA obligations.
- You represent that you have authority to upload and process such information consistent with FERPA, state student-privacy laws, contracts, and professional obligations.
4. AI Processing
The Platform uses artificial intelligence and related automated systems to analyze uploaded materials and generate summaries, suggestions, reports, and similar outputs.
- AI processing may involve transmitting portions of your content to third-party AI providers that power model inference.
- We implement safeguards intended to limit processing to what is needed to provide the Services; however, no AI system is perfect, and outputs may be inaccurate or incomplete.

5. How We Use Information
We use information to:
- provide, operate, secure, and improve the Platform;
- authenticate users and prevent fraud or abuse;
- generate AI-assisted outputs at your direction;
- communicate about the Services, security, or policy changes;
- comply with law and enforce our agreements; and
- analyze aggregate or de-identified usage trends where permitted.
6. How We Share Information
We may share information with:
- Service providers who assist us (e.g., hosting, email, analytics, payment processing, security monitoring, and AI inference providers), subject to contractual confidentiality and security obligations.
- Authorities when required by law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of users and the public.
- Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
We do not sell personal information for monetary consideration as a business model.
7. Data Retention
We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.
Retention periods may depend on account status, backups, and technical constraints. You may request deletion as described below, subject to legal exceptions.

We implement commercially reasonable technical and organizational measures designed to protect information.
No method of transmission over the Internet or electronic storage is completely secure. You acknowledge residual risk inherent in cloud services and online platforms.
9. Your Choices and Rights
Depending on your jurisdiction, you may have rights to:

- object to or restrict certain processing;
- withdraw consent where processing is consent-based; and
- lodge a complaint with a supervisory authority.
California residents: If the California Consumer Privacy Act (“CCPA”) or California Privacy Rights Act (“CPRA”) applies, you may have additional rights regarding personal information, including rights to know, delete, and correct, and to limit use of sensitive personal information, subject to statutory exceptions. We do not “sell” or “share” personal information for cross-context behavioral advertising as those terms are defined under California law.
